The Buyer's Guide to Cleaning Robots

How to evaluate, cost and roll out autonomous floor care, without the sales pitch.

1. Why this guide exists

Cleaning robots have crossed from novelty to practical infrastructure. The technology works. The harder question is whether it fits your facility, and how to buy it without overpaying or betting on the wrong machine. This guide gives you the same framework we use with clients, so you can make the call on your own terms.

2. Size the opportunity

Before talking to any vendor, get clear on what you're actually trying to fix. Pull together:

  • Cleanable floor area (m²) per site, split by floor type: hard floor vs carpet, open vs cluttered.
  • Cleaning frequency and windows: how often, and the hours available to do it.
  • Current labour cost: hours spent on floor care × fully-loaded hourly rate (wages, on-costs, turnover).
  • Pain points: consistency, audit/compliance, staff strain, recruitment, after-hours coverage.

The goal is a baseline: what floor care costs you today and where it falls short. That number is what any automation has to beat.

3. Own vs subscribe (RaaS)

There are two ways to put a robot to work. Buying is a capital purchase: you own the asset and carry mapping, training, servicing, spares and replacement. Robotics-as-a-Service bundles the hardware, deployment, monitoring and maintenance into one monthly fee. You pay for the outcome, not the machine.

4. Match the machine to the space

One robot does not fit every site. As a rough guide:

  • Compact 4-in-1 (vacuum/sweep/scrub/mop): offices, retail, healthcare corridors and tight, high-traffic spaces.
  • Industrial sweeper: warehouses, logistics hubs and large facilities where coverage per night is what matters.
  • Wide-deck scrubber: supermarkets, transit hubs and industrial hard floors needing uniform, heavy-duty scrubbing.

Be wary of any vendor who recommends a single model before understanding your floor plan.

5. Questions to ask every vendor

  • What is the practical coverage rate in a space like mine, not the theoretical maximum?
  • How is the site mapped, and what changes on-site when layouts shift?
  • What's included in support: monitoring, dispatch, spares, software updates, refreshes?
  • What's the response time when a robot goes down, and who pays for the downtime?
  • How does it handle obstacles, spills, people and safety in a live environment?
  • What data and reporting do I get to prove ROI and compliance?
  • What are the exit terms, and what happens to my data and mapping if I leave?

6. Rollout checklist

  1. Site assessment: environment, floor types, network, obstacles.
  2. Mapping & integration: LiDAR map, charging/dock placement, workflow fit.
  3. Pilot: run a defined area, measure coverage, quality and exceptions.
  4. Staff training: operation, safety, and how human + robot work split.
  5. Scale: expand zones/sites once the pilot proves out.
  6. Review: track labour reclaimed, uptime and cost against your baseline.
